Position: Client Services Coordinator/Administrative Assistant
Hours: Full time, 4-day workweek (36 hours). Non-Exempt
Pay (Salary): $20.00 - $23.00/Hour DOE.

Reports to: Child Advocacy Center/Sexual Assault Services Manager.
Location: Santa Fe, New Mexico, with on-site parking.
Who We Are
For over 50 years, Solace Sexual Assault Services has been a full-service sexual assault services provider for our neighbors in Santa Fe, Rio Arriba and Dona Ana Counties. Our mission is to provide compassionate services to survivors of sexual violence while working to end sexual violence through therapy, advocacy, education, and prevention. The services of Solace are offered free of charge, and we are committed to being a vital resource for healing and hope in our community.
Solace offers three core services:
1. The Child Advocacy Center/Sexual Assault Services Department supports survivors of violence through the wide range of services available through Solace and our community partners.
2. The Clinical Department provides crisis stabilization, assessment, and therapy to individuals who have experienced sexual violence and other violent crimes.
3. The Education & Prevention Department provides comprehensive sexual violence prevention education programs to schools, government agencies, and community organizations.
Position Summary
The Client Services Coordinator/Administrative Assistant is responsible for organizing all front office activities including opening and closing procedures. This person delivers a trauma-informed response to all persons coming to Solace for our services by maximizing safety, and prioritizing empowerment and collaboration. Some of the responsibilities are shared with the other Client Services Coordinator/Administrative Assistant.
Service Coordination Duties and Responsibilities at Solace include:
1. Daily opening and closing of the Center during regular business hours.
2. Answering all phone calls promptly and transferring appropriately. Directing all crisis calls to the appropriate staff advocate or triage clinician. Taking and distributing messages for staff, volunteers, and others at Solace.
3. Providing callers with information regarding services available at Solace.
4. Greeting all visitors and making them comfortable, using a trauma-informed response.
5. Working with a diverse number of documents, some confidential, making copies for clients, which may include medical records requests, etc.
Administrative Support Duties and Responsibilities include:
1. Processing all payments from donors, entering the information into the donor database.
2. Updating contact information in the donor database.
3. Maintaining meeting calendars and reserving space as requested.
4. Ordering office supplies, fulfill meeting requirements for food, beverages, reservations, etc.
5. Operating the phone system, postage meters, copier/printer/scanner and maintaining adequate supplies.
6. Daily office upkeep: maintaining a clean and tidy lobby, kitchen, and other shared workspaces, as needed.
7. Other duties as assigned by management.
Required Qualifications to join the Solace team:
1. Have a High School Diploma or GED certificate.
2. Ability to work cooperatively and autonomously.
3. Ability to multi-task and be proactive about the various responsibilities of the position.
4. Ability to support all visitors to Solace in a professional and empathetic manner.
5. You must pass the CYFD Childcare background clearance and complete the US DOJ-OJP OVCTACC on-line Victims Advocacy Training (VAT) and CYFD Trauma Informed Training within 90 days of hire.
6. You must be computer literate in Microsoft Office 365 suite of programs and Windows-based applications.
