The Spa Coordinator is responsible for delivering exceptional guest service and ensuring smooth daily operations within the Spa at the Inn of The Five Graces. This role serves as the primary point of contact for guests, assisting with spa reservations, retail sales, guest check-in/check-out, and maintaining the overall spa environment.

Essential Responsibilities
Guest Services & Spa Operations
Welcome all guests warmly and professionally upon arrival
Answer phone calls and email correspondence promptly and courteously
Provide knowledgeable guidance regarding spa services, treatments, and products
Accurately schedule and manage appointments using Book4Time and Opera systems
Check guests in and out while maintaining accurate billing and folio records
Promote and upsell spa services and retail products
Address guest concerns professionally and communicate issues to Spa Management promptly
Facility & Inventory Support
Perform daily spa opening and closing procedures
Maintain stocked supplies including water, tea, snacks, towels, linens, and locker amenities
Ensure locker rooms, showers, fitness center, and pool deck areas remain clean and guest-ready
Monitor spa music and ambiance settings
Open and close umbrellas, chair covers, and fire pit as needed
Ensure fitness equipment is clean and functioning properly; report maintenance concerns
Safely store and organize clean laundry deliveries
Administrative & Team Support
Deliver daily paperwork and reports to hotel departments
Coordinate communication with Front Desk and Facilities teams
Notify therapists and estheticians of schedule changes
Assist Spa Manager with administrative duties such as inventory and spreadsheets
Help coordinate coverage for staff call-outs when needed
Maintain sanitation, safety, and emergency procedures in accordance with Inn standards

Ability to follow procedures, protocols, and management direction

Bilingual in English/Spanish preferred
Education & Experience
High School Diploma required; college or secondary education preferred
Minimum of 2 years of hospitality, clerical, or administrative experience
Proven ability to provide exceptional guest experiences
Ability to pass background and reference checks
Work Environment
This position works in a professional spa and hospitality setting with moderate noise levels. Duties may involve both indoor and outdoor responsibilities, including exposure to varying weather conditions.
